Turning on the Search Tool (under the Search Icon at the bottom of Scratchpad) is crucial if you want Scratchpad to find answers to general questions within your documents.
For example, if you ask: “What are CO2 emissions?”
Scratchpad might otherwise provide a general definition instead of searching for relevant data from your company. With the Search Tool enabled, Scratchpad will prioritise your Knowledge Base when generating responses.
Note: The Search Tool forces Scratchpad to search your Knowledge Base every time you ask a question—regardless of the query. Even if you ask: “What flavour of ice cream do you like?” Scratchpad will still search the Knowledge Base for relevant content instead of giving a conversational response.
Tip: If you want to ask general questions or refine responses, turn off the Search Tool. This lets Scratchpad decide whether it needs to search the Knowledge Base or provide a conversational response based on context.

Yes!

  1. Open the Scratchpad BETA tab from the left-hand menu. Enter your question in the input box. You can query specific documents or analyse trends across the entire Knowledge Base (Documents and Answers library). Review the AI-generated answer and take one of the following actions:
    • Add the answer to the Answers library using the “+” icon. Copy the answer by clicking the Copy button.

Tip: Open Scratchpad in a separate browser tab to navigate the platform without losing your session.

The Expert Tool (under the Expert Icon at the bottom of Scratchpad) helps with drafting and generating detailed documents within Scratchpad using AI-driven expertise. It can assist with tasks such as:

  • Drafting policies, reports, or other formal documents.
  • Summarising data into structured documents.

Note: Make sure to download or copy your drafted documents by clicking “Download Document” or “Copy Document” before leaving the session. Your work will not be automatically saved to the Documents Library.

  • Can’t automatically save responses to the Knowledge Base: To save a response to the Answers Library, click the “+” icon next to the generated answer.
  • Can’t automatically save documents to the Knowledge Base: If you draft or generate a document in Scratchpad, you’ll need to manually download it and upload it to the Documents Library, filling in any required metadata.
  • Can’t search the web: Scratchpad only works with your Knowledge Base and training data—it does not have access to online information.
  • Can calculate metrics: Scratchpad can handle calculations and analyse data within your Knowledge Base.
  • Decides whether to search the Knowledge Base: By default, Scratchpad chooses whether or not to search your Knowledge Base when responding. If you ask a general question like “What is the capital of France?”, Scratchpad may reply based on its training knowledge instead of searching your documents. To force Scratchpad to always search your Knowledge Base, enable the Search Tool by clicking the Search Icon at the bottom of the Scratchpad screen.
  • Can search parts of the Knowledge Base: You can customise Scratchpad to search only specific sections of your Knowledge Base. Open Settings at the bottom of Scratchpad to choose between the following options:
    • Answers & Documents Library: Use both pre-approved answers and reference documents.
    • Only Documents Library: Limit the AI to only search reports, policies, and other documents.
    • Only Answers Library: Limit the AI to pre-approved answers only.
    • No Context: Use Scratchpad without searching any Knowledge Base content.
  • Can search within a single document: To narrow down your query to a specific document, simply mention it in your question, e.g., “Search in Annual Report 2023.”

Yes! You can customise how the AI interacts with your Knowledge Base through the Knowledge Base Access options, found under the Settings Icon at the bottom of Scratchpad. These options include:

  • Answers & Documents Library: Use both pre-approved answers and documents as context for Scratchpad responses.Only Documents Library: Use only documents (e.g., reports, policies) as context.Only Answers Library: Limit the AI to use only pre-approved answers when generating responses.No Context: Use Scratchpad without referencing any documents or pre-approved answers.

Note: Scratchpad will only search and use information from the section of the Knowledge Base that you select in these settings. If you want Scratchpad to search across the entire Knowledge Base again, you need to adjust the settings.

Yes! You can focus Scratchpad on a specific document by asking it to search within that document. For example, you can say: “Search in Annual Report 2023” Scratchpad will then generate responses based on the content of that specific document.

  1. Answer Length: Indicate the desired level of detail, e.g., concise (3-5 sentences), moderately detailed, or comprehensive responses.
  2. Scope: Define the context or focus area, such as a particular project, product, or aspect of your business operations.
  3. Tone and Format: Mention any preferences for tone (e.g., formal, friendly, technical) or formatting requirements.

Example instructions: “Generate concise, professional responses (3-5 sentences) related to Project ABC, which aims to [e.g., improve customer onboarding through automation]. Responses are for [e.g., senior leadership] and should provide [e.g., progress updates, clarify details, or address questions]. Maintain a formal, approachable tone with clear, relevant insights, achievements, and next steps, avoiding unnecessary technical jargon.” Tip: Good instructions ensure that responses are relevant, appropriately detailed, and aligned with your needs. Note: Generating answers may take time depending on system usage. You will receive an email notification once your form is processed.

  1. Go to Autofill > Autofill New Form
  2. Drag and drop the form file, or click inside the box to manually upload it.
  3. Specify the type of documents (Public, Private, or both) to use.
  4. Provide clear instructions, including:
    • Answer Length: Indicate the desired level of detail, e.g., concise (3-5 sentences), moderately detailed, or comprehensive responses.
    • Scope: Define the context or focus area, such as a particular project, product, or aspect of your business operations.
    • Tone and Format: Mention any preferences for tone (e.g., formal, friendly, technical) or formatting requirements.
  5. Click Submit to begin processing.

Note: Generating answers may take time depending on system usage. You will receive an email notification when your form is completed. Example instructions: “Generate concise, professional responses (3-5 sentences) related to Project ABC, which aims to [e.g., improve customer onboarding through automation]. You have multiple editing options:

  1. Manual Editing: Directly type in the answer box to make changes.
  2. Scratchpad Mini BETA: Click this tool to adjust tone, formatting, or answer length. Use the following actions as needed:
    • Discard: Delete the newly generated answer.
    • Accept: Save the new answer, replacing the previous one.
    • Append Below: Add the new answer to the bottom of the existing one.
    • Try Again: Regenerate the answer using AI.
  3. Once the answer meets your needs, click Update to save your changes.
  4. Choose from the following options:
    • Approve: Add the answer to the list of approved answers.
    • Assign: Assign the answer to a team member.
    • Mark as Review Complete.

If your form is taking longer than expected to generate, it may have been flagged for review by our analyst team. This typically happens when the AI detects multiple “Insufficient Evidence” responses or encounters an issue with question extraction from your document. If our analysts cannot resolve the issue quickly, they will contact you to explain what additional information is needed to complete the form.

  1. Navigate to the Autofill tab.
  2. Click the Download button next to the relevant form.

Tip: Make any necessary edits within the platform before downloading to fully utilise the AI tools inside EA.

  1. Navigate to either the Autofill or Answers tab.
  2. Locate the form you want to review.
  3. Click the arrow beside Unassigned Answers to expand the question list.
  4. Click the arrow next to a question to view its answer and the supporting documents.
  1. Navigate to the Documents > Add Document.
  2. In the pop-up window, choose either Public or Private document.
  3. Upload your file or paste a URL link.
  4. Click Submit to complete the upload.
  5. Repeat these steps to upload more documents.
  1. Navigate to Answers > Import Approved Answers.
  2. Drag and drop your files, or click inside the upload box to browse and select them.
  3. Enter a name for the imported answers.
  4. Click Upload.

Note: Displaying your imported answers in the Answers library may take some time, depending on the format of the uploaded file. You will receive an email notification once your imported answers are available to view inside the platform.

The EA Knowledge Base is made up of two core components: the Documents and the Answers library. These libraries work together to streamline your workflow, allowing EA to automatically generate answers for new forms and questionnaires by leveraging your previous work and reference materials. The Answers library contains approved responses from previously completed questionnaires. EA can reuse these responses and ensure your preferred language, style, and tone remain consistent across projects. Examples of what can be uploaded to the Answers library:

  • ESG (Environmental, Social, and Governance) surveysDDQs (Due Diligence Questionnaires) from clientsFAQs from customersTendersRFI (Request for Information) responses

The Documents library houses both public and private documents. This strengthens EA’s ability to generate accurate answers and enables advanced features like Autofill. You can upload any reference materials you commonly use when completing RFPs, questionnaires, or other formal inquiries. Examples of documents to upload to the Documents library:

  • Reporting:
    • Annual Report/Financial Report
    • Proxy Statement
    • Remuneration Report
    • ESG/Sustainability Report
    • Sales Performance Reports
